The council offers a strong level of support to vulnerable groups and those who need additional support, which has also increased significantly as a result of the pandemic. Like most places, the average age of our population is rising as more people are living longer, so we are working closely with residents to help them maintain their independence and further improve the cost effectiveness of our service to meet the ongoing rise in demand.

Kingston is home to people from diverse and interesting cultures and backgrounds, which helps to create the rich sense of community shared across the borough. In particular, Kingston has a large Sri Lankan Tamil community and is home to more people from Korea than any other part of the UK.

Reporting to our Asset & Compliance Lead Officer, this Data analyst assistant role will assist team in managing all aspects of compliance for buildings owned or managed by the Council’s Housing Landlord. You will act as data analyst for compliance related issues including the review and filing of documentation from specialist companies.

The role will involve:

  • Uploading LGSR / EICR certification, photographs and compliance documents received from external parties.
  • Synchronise all certification documents with NEC
  • Investigate synchronising certs on Google Drive with NEC
  • Develop Compliance folder structure to facilitate full documentation and automated hyperlinking to internally developed dashboards.

Ideally you will have experience with Microsoft and Goggle documents and have a well organised working style, excellent communication and interpersonal skills with the ability to communicate compliance information clearly and effectively to colleagues in other departments.

 

Duties

Customer Service and focus

Communications

  • Develop and maintain close working relationships with all stakeholders, in order to facilitate the flow of information, encourage collaboration and cooperation.
  • To carry out consultation with residents and partners and design and deliver communication, consultation and engagement initiatives including briefings, workshops, training, surveys, newsletters and web site information.
  • Seek out, consult and consider the views of colleagues and residents to actively engage in positive internal and external collaborative working.
  • Encourages and actively engages in positive cross directorate communications and team working.
  • Provide advice on technical aspects of the service.
  • Ensure clear and appropriate communication and the sharing of data between external and internal teams, to monitor projects and programmes so appropriate adjustments can be made to keep project and programmes on track.

Technical & Operations

  • Assist with management and maintenance of the Keystone Asset Management System.
  • Assist with developing an excellent understanding of the feature and functions of Keystone and alternative Asset mnagaement software to ensure that the councils HRA stock data is within leading technology.
  • Assist with creation of processes to collect data effectively and efficiently from consultants and contractors to maintain and updated Keystone given completion of capital and revenue works.
  • Assist with ensuring that stock condition data is managed effectively, is up to date and relevant.
  • Assist with ensuring the effective collection and application of compliance data (asbestos, FRA, gas and electrical surveys, condition reports and test certificates..
  • Assist in preparation of reports for senior mangement
  • Provide support to others regarding performance and other relevant information pertaining to the HRA stock
  • Assist in providing stock data to the R&M team and other internal stakeholders (Finance/Housing, etc) as required.
  • Make a contribution to the development and implementation of new policies and procedures.
  • Assist with managing and presenting of complex data pertaining to the HRA stock.
  • Assist with building and improvement of existing information management systems to enhance the current gathering, storage, manipulation, analysis, and reporting of statistics

Essential criteria
